Custom Headphone Project Timeline
Many buyers ask the same question at the beginning of a custom headphone project: how long will it take?
The honest answer depends on the project type. A simple logo and packaging project may move quickly. A new housing design, acoustic tuning or app-connected product will take longer.
For TWS earbuds and wireless headphones, the timeline is not controlled by one step. It depends on requirement confirmation, sample testing, certification planning and pilot production.
Simple words, the project does not start when the order is placed. It starts when the requirements are clear.
Define The Product
The first stage is requirement confirmation. This usually takes about 1 to 2 weeks.
Buyers need to define the product position, target price and sales market. If the product is for office meetings, AI call noise reduction may matter more. If it is for sports use, fit and water resistance become more important.
You may ask: why does this step affect the whole timeline?
Because the chipset, battery and acoustic design all depend on positioning. If the brief only says “we need a premium headphone,” the manufacturer cannot choose the right solution. The project will lose time later through repeated changes.
Build The Sample
The second stage is sampling and adjustment. A standard ODM project may take 2 to 4 weeks. A new design or complex feature set can take longer.
At this stage, buyers should not only check the appearance. They also need to test connection stability, call quality and battery life. A TWS earbud looks small, but the antenna, microphone and battery space can all affect the final experience.
If the first sample is not perfect, that is not always a problem. The real question is whether the supplier can explain the issue and give a clear revision plan.
For example, one-side disconnection may come from antenna layout or firmware. A muffled voice may come from microphone position or algorithm tuning. These answers matter more than a simple “we will improve it.”
Plan Certification Early
The third stage is certification planning. This step is often underestimated.
If the product enters the United States, it may need FCC equipment authorization. Radio frequency devices must be properly authorized before they are marketed or imported into the United States.
If the product uses Bluetooth technology, buyers should also check the Bluetooth Qualification Process. Suppliers or other member companies cannot qualify products on behalf of your company.
For the EU market, wireless products may also need to follow the Radio Equipment Directive, which covers safety, electromagnetic compatibility and radio spectrum use.
This means certification should not wait until the final shipment. A safer approach is to confirm the target market, required reports and label requirements before mass production.
Run A Pilot Batch
The fourth stage is pilot production. This may take 1 to 3 weeks, but it has a big impact on risk control.
Pilot production is not just a formality. It checks whether materials are stable, whether assembly is smooth and whether testing tools can catch problems. For TWS earbuds, common risks include charging contact failure, pairing issues and microphone inconsistency.
If a supplier skips pilot production and says mass production can start directly, buyers should be careful. A good sample does not mean 1,000 or 10,000 units will perform the same way.
A reliable manufacturer will keep a golden sample and record pilot-run problems. If after-sales issues appear later, the team can trace them back to materials, process or testing standards.
Start Mass Production
The fifth stage is mass production and shipment. A normal project may take 3 to 5 weeks after final approval. A more complex project may need more time.
The biggest risk in this stage is last-minute change. Packaging files may not be confirmed. Certification labels may need adjustment. A material may be replaced without enough notice.
Before mass production, buyers should confirm the BOM version, packaging files and inspection standard. Do not only ask when the goods will ship. Ask which approved version the batch will follow.
